CROFTON CHILDREN’S PLAY AREAS ASSOCIATION

Minutes of the meeting on Monday 8^th September 2003

1. The minutes for the last meeting dated 21^st July 2003 were agreed.

2. Matters arising:
• Julian has e-mailed Richard in planning re the necessity of planning application for our venture, but has not yet received a reply. Non was needed for a similar venture in Featherstone.
• Julian reported that WMDC will empty the bins.
• Sean has been given a television for our raffle from his work (thank you, Morrisons!).
• A letter has been received from a concerned resident (copy attatched).

3. Raffle:
• A licence has been bought at a cost of £35.00 (of which £17.50 is a one off payment to register). This will need to be renewed in January (or as needed) at £17.50 for 12 months.
• We have received a selection of donations as prizes:

£200 worth of holiday vouchers from Wakefield Shirt Company

A sitting & prints worth over £100 from David Wilkinson

Some pop from Britvic

A £10 Asda giftcard

A £10 Marks and Spencer voucher

A colour television from Morrisons

4 cases of pop from Coca-Cola

A £5 Sainsbury’s voucher

A fish and chip supper for 2 from Jenny’s

· There are some rules to the gambling licence that we must adhere to:

No more than 35% of the costs can be taken out of the

proceeds

Tickets must cost no more than £1 each

We must have a promoter printed on the tickets

· We have gathered quotes on printing costs:

£45 for 1000 tickets from Printform

£45 for 2000 tickets from another printing firm

It was agreed we would go for the 2000 tickets, as it was

felt we had nothing to lose.

· It was suggested we hold a Hallowe’en party to draw the raffle, with prizes left over from the gala to be used as fancy dress prizes for the different age groups. Paula to book Crofton Community Centre on 31^st October, 6.30pm until 8.00pm. This gives us one month to sell the raffle tickets in!

4. Crofton Parish Council Meeting:
• Paula is taking an annual report and a copy of the accounts, to request a pledge for £2750.
• Paula has a good understanding of the financial aspects of the pledge and would like another member to attend the meeting with her to collaborate the background questions. Helen will accompany her.
• The meeting starts at 7.00pm prompt.

5. Barclay’s Bank / funding applications:
• Sean skates with Graham, who is involved with funding via Barclay’s Bank and may be able to advise us with funding applications.
• Sharon suggested we apply to the Lloyds TSB Foundation as she has found them helpful in the past.
• Paula has sent off the application to the Forresters.
• We have requested a Community Chest application form.
• Asda have sent us a Favour Form, for us to request sponsorship or a donation.

6. The next meeting was agreed for Monday 6^th October at 7.00pm in Shay Lane Primary School.
